Student Organization Re-Registration

The purpose of student organization re-registration is to ensure that EmConnect is populated with active, well-described groups and accurate officer information. This will help create the best possible experience for all users of the platform, particularly those looking for organizations and events to connect with.

Student organizations must re-register twice per academic year to maintain their status and continue to receive funding from Student Government Association.

Timeline

  • Monday, November 9: Re-registration opens for Spring 2027
  • Sunday, December 6 (deadline): Re-registration closes at 11:59PM
  • Monday, December 7: Officers will no longer be able to access their group without a re-registration

Instructions

Step 1: Update officers and positions

*Any officer with "Manager Officers" permission can assist with this step

  1. Manage your group in EmConnect
  2. Navigate to Dashboard -> Officers
  3. Ensure that your officer list is up-to-date
  4. Use the Position drop-down menu to designate who is in each role. Ensure that every officer has a position set and that all required roles are filled

Step 2: Complete the re-registration form

*One officer must complete this on behalf of the organization

  1. Manager your group in EmConnect
  2. Click the blue Group Re-registration button at the top of the group dashboard to start the form
  3. After you submit the form, the re-registration workflow will pull your officers and advisor and send them email notifications prompting them to review and approve their roles

Step 3: Ensure all officers approve their roles

*All officers in required roles, including the advisor, must participate in this step

  1. Check your email for a message from EmConnect
  2. Click the purple View Workflow button
  3. Check that all roles listed in the Officer Confirmation step are populated correctly
  4. Click/tap the green I Approve button under your role/name to confirm that you will be serving in that role for the upcoming semester
  5. Verify that the text under your name has changed to a green Approved chip and displays the date and time you approved

Frequently Asked Questions

I submitted the form and/or approved my role. MY job is done, right?

No. It is the shared responsibility of the group's student officers to monitor the re-registration status and ensure that all required steps are completed correctly before the re-registration period closes.

This includes returning to the re-registration workflow to ensure that the advisor and all required officers confirm their roles.

The most direct way to return to a specific workflow is through the View Workflow button in your initial workflow notification email.

You can also log in to EmConnect (emconnect.emerson.edu) and revisit any workflow in any stage of approval in My Activity" -> "My Workflows.
You must change the first dropdown filter to Active Workflows to see workflows that don't currently require a response from you, but still need action from others.
To view approved workflows, set the first filter to "All Workflows" and the second filter to "Approved".

How do I help my officers and advisor approve their role?

Resend notification" link under their name
Anyone who can see the workflow can click the "Resend Notification" link under the name of another officer who hasn't approved yet. This will send another copy of the workflow notification email that contains the "View Workflow" button.

Send them this webpage
Copy-paste the URL from the browser bar and send it to them by email or another channel you know they will see. Alternately, you can copy-paste information related to their specific problem and send it to them.

I'm an officer or advisor, how do I approve my role?

  1. Check your email for a message from EmConnect
  2. Click on View Workflow
  3. Look for your name and position
  4. If the position is the one you are serving for the upcoming semester, click I approve under. your name
  5. If the position is inaccurate, or you are not an officer of the group, use the workflow chat button to inform the other officers

Can't find the email?
If you can't find the workflow notification email through search or in your spam folder, you may need to check your CampusGroups notification settings and update your global notification settings in order to receive them in the future. 

In the meantime, you can log into into EmConnect and access the re-registration workflow in My Activity -> My Workflows.

What officers are required?

Every student organization operates in unique ways; and, many student organizations use a variety of different titles for their officers. However, every registered student organization is required to have at least 3 officers on their leadership board. A president and treasurer are required for every student organization.

Treasurers are never allowed to serve in multiple positions within the same organization.

SEAL recognizes that every student organization may call their "president" or "treasurer" by different names - Editor in Chief and Business Manager, respectively - and we encourage every organization to use titles that best represent their position.

Advisors are also required for every student organization - registered organizations and interest group organizations. Advisors can be any full-time faculty or staff member at Emerson College.

All of these roles must be continuously occupied in order for your organization to remain active.

What questions will be on the re-registration?

Before you begin, ensure that your group's officer list is already updated for the upcoming semester. As a reminder, a student organization must have at least three officers to remain active.

Part 1
First, you will be asked to review your organization's directory information:
- Organization name
- Organization categories
- Logo
- Mission
- Upload constitution

Part 2
Next, you will select your officers:
- Type in each officers' name
- Select their position/title

Part 3
Your organization's goals and additional questions will be on the next page
- Goals for the upcoming semester and how SEAL can support
- Reflection on previous semester's goals progress 
- How your organization will contribute to the Emerson community in equitable and inclusive ways
- Acknowledgement that students may not remove another student from the organization

Part 4
On the following page, you will input additional information about your advisor
- Name, job title, and email address
- Upload the signed advisor agreement

Part 5
Next will be information on the Massachusetts Hazing Law, as well as the Emerson College Compact Agreement.

Part 6
The final part is sharing contact information for Org Fair and identifying new leadership roles.

My group re-registration is still pending...what should I do?

Open the re-registration workflow through your email notification or My Workflows. (You may need to change the first filter to "Active Workflows" to see it.)

Ensure that there are NO empty positions or positions filled inappropriately (e.g. a student with the advisor position, an alum in any student officer position).

If there are, update your officer list using the guidelines above.

Then, return to the workflow and click "Resend notification" to anyone who was just added. You can also use "Resend notification" or reach out separately to remind someone to approve their role.
